About

The Admin Associate will play a key role in supporting daily operations, office administration, and coordination across departments. This role ensures smooth functioning of facilities, procurement, documentation, and logistics while maintaining high standards of efficiency, quality, and confidentiality. The position also supports HR and finance functions, vendor management, and event coordination for Red Balloon Aerospace’s projects and manufacturing facilities.

Description

Office Administration & Coordination
• Oversee daily office operations, ensuring smooth workflow and coordination between departments.
• Manage office supplies, utilities, and maintenance requirements for facilities.
• Assist in handling correspondence, documentation, and filing (physical & digital).
• Coordinate travel, accommodation, and logistics for staff and visitors.
Procurement & Vendor Management
• Support vendor identification, quotation collection, and comparative analysis.
• Maintain purchase order records and coordinate delivery schedules.
• Ensure timely payments and compliance with procurement procedures.
HR & Employee Support
• Assist HR in onboarding new employees, maintaining attendance, and leave records.
• Coordinate employee engagement activities, training sessions, and welfare programs.
• Manage employee records and ensure confidentiality.
Finance & Compliance Support
• Liaise with accounts for invoice processing, petty cash, and expense tracking.
• Maintain administrative budgets and ensure cost-effective operations.
• Support documentation for audits, government compliance, and insurance renewals.
Logistics & Operations
• Support material movement, dispatches, and coordination with logistics providers.
• Handle courier management and shipping documentation for project materials.
• Assist project teams in planning and coordinating site logistics.
Events & External Coordination
• Assist in organizing internal meetings, reviews, exhibitions, and public events.
• Coordinate with government and institutional partners for administrative requirements.
• Represent the company professionally in external interactions when required.

Requirements

• Bachelor's degree in business administration / commerce / HR / related field.
• 2–5 years of experience in administrative or operations support roles.
• Experience in startups, R&D, or industrial environments preferred.

Desired

• Strong organizational and multitasking skills.
• Excellent communication (written & verbal) and interpersonal skills.
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
• Knowledge of procurement and vendor management processes.
• Attention to detail and ability to maintain confidentiality.
• Familiarity with administrative operations in manufacturing or aerospace setups is a plus.
